The Administrative Assistant is responsible for providing the Maintenance department with administrative, timekeeping, procurement, and cost controls support.
 

What You'll Do

  • Support the Maintenance work process and budget cost control through various tasks and activities.
  • Ensure work orders, requisitions and purchase orders are coded to appropriate cost categories consistent with corporate guidance.
  • Build, maintain, and distribute various expense and activity reports.
  • Support the development and updating of annual maintenance budget and control tools.
  • Create work orders, material, and service requisitions as necessary.
  • Perform Workforce timekeeping and scheduling administrative duties including prior days’ time and code entry, ancillary document processing, and approval for payroll.
  • Approve contractor time in ECM (Track) and reconcile daily work force report against ECM.
  • Coordinate Document Retention Management for Maintenance Department.
  • Demonstrate knowledge of organization, document retention policy, business procedures and practices.
  • Update Maintenance internal website(s), SharePoint, and Livelink sites.
  • Handle business-related issues to ensure minimum disruption of daily business; provide information to others.
  • Support rental equipment requests and cost allocations.
  • Schedule meetings, make catering arrangements, and facilitate award celebrations as needed.
  • Manage individual and group email and calendars as needed.
  • Maintain databases, manage office supply inventory, answer incoming phone calls, and take meeting minutes.
  • Assist in travel arrangements and use online personal logistics system to make reservations as needed.
  • Provide timely, accurate, and professional resolution to many inquiries and requests.
  • Assess and adjust to changing priorities while simultaneously handling numerous ongoing project activities.
  • Identify and proactively address tasks outside normal job scope to improve processes.
  • Print work orders and prepare job folders for P66 craft and contractors daily.
  • Other administrative tasks to support as assigned.

 
What You'll Bring - Required

  • Legally authorized to work in the job posting country.
  • High School Diploma or GED equivalent. 
  • Must have valid driver’s license
  • 3 or more years of administrative assistant experience in industrial setting or other relevant industry
  • Intermediate level of proficiency with Microsoft applications (performing the skill with limited assistance), with emphasis in Excel and PowerPoint applications.
  • Willing and able to obtain a Transportation Worker Identification Card (TWIC). Information can be found at https://www.tsa.gov/twic
  • Must be willing and able, with or without reasonable accommodation, to comply with the following:
    • To lift up to 25 pounds
    • Occasional on-call duties.
    • Work extended hours, which may include evenings, weekends, and holidays.
    • To maintain face daily so that a respirator/face mask can seal properly (some examples include being free of facial hair and/or clean shaven)

Compensation Range 

This position has a base salary range of $73,500 – $89,870.

The Rodeo Renewable Energy Complex is a state-of-the-art facility processing renewable feedstocks (waste oils, fats, greases, and vegetable oils) to produce vital transportation fuels, including renewable diesel and sustainable aviation fuels for California, Oregon, Washington, and British Columbia. The Rodeo facility has been providing energy and improving lives since 1896. The conversion from crude oil to renewable feedstocks was completed in early 2024, enabling the production of lower carbon-intensity transportation fuels. The converted facility reduces lifecycle carbon emissions by approximately 65% — the equivalent of taking 1.4 million cars off California roads each year. The Rodeo Renewable Energy Complex is Fueling the Future of the next generation of cutting-edge liquid fuels production and beyond.
