Information System Specialist, Ponca City Refinery

The Information System Specialist is responsible for managing the information system (LiveLink) that ensures Ponca City Refinery (PCR) controlled documents are kept current and business records are maintained in accordance to the Corporate Records Management Policy and with standard business practice.
 

Responsibilities May Include:

  • Lead the Engineering Records contract workforce
  • Implement best practices and guide others in the use of LiveLink
  • Ponca City Refinery's sole point-of-contact for the LiveLink database, which contains over 900,000 refining records
  • Use discretion and independent judgment to manage database content, including additions and deletions to the database
  • Coordinate document and records management to ensure that operating and maintenance procedures are maintained accurately
  • Manage the development of LiveLink workflows to improve business work processes
  • Audit Livelink database for content accuracy
  • Use discretion and independent judgment to determine additions and deletions of documents and users within the LiveLink database
  • Perform testing for database and system upgrades and enhancements
  • Provide guidance and oversight on populating attributes, developing folder and file structure within Livelink to the PCR Employees & Contractors
  • Ensure that adequate levels of Livelink training are available to Ponca City Refinery employees
  • Develop and deliver training as needed
  • SPOC between the Livelink Central group and PCR, to ensure refinery personnel are informed of all upgrades and changes made to the system
  • Coordinate and decide on all changes to the system, to ensure refinery business needs are met i.e. Turnarounds, Audits, etc. 
  • Responsible for the security of the database by determining proper groups and users within Livelink and controlling permissions on folders, documents, & objects
  • Advise PCR when consistency between refining sites is important and then help reach the definition/agreement
  • Maintain the Ponca City Refinery DRM (8) Master Records Lists, BRO, GRL, GRLA, and Members tables current within Livelink
  • Manage the Owner based roles that will handle the disposition process

 

Required Qualifications:

  • Legally authorized to work in the job posting country
  • Bachelor's degree in Business Administration or related field
  • 5 or more years of experience in records management using an electronic database
  • Advanced proficiency with Microsoft Office applications
  • Possess or willing to obtain Business System Coordinator certification

 

Preferred Qualifications:

  • Experience working with PCMS, RFM, SAP, and/or Meridium APM
  • Ability to develop a thorough understanding of site/corporate policies and OSHA requirements on PSM and document management/records retention
  • Working proficiency with business software applications: word processing, spreadsheet, desktop database, presentation programs, Livelink and document imaging software
  • Experience in document storage, filing & retrieval

 

The Ponca City Refinery is located in Ponca City, Oklahoma, approximately 95 miles northwest of Tulsa, Oklahoma. Its facilities include crude distilling, naphtha reforming, fluid catalytic cracking, alkylation, hydrodesulfurization and delayed coking units. The refinery processes a mixture of light, medium and heavy crude oil delivered via pipeline from Oklahoma, Texas, New Mexico, the U.S. Rockies and Canada. Infrastructure improvements have enabled the delivery of locally produced crude oil by pipeline and truck. The refinery produces a high percentage of transportation fuels and anode-grade petroleum coke. Refined products are primarily distributed to customers by company-owned and common carrier pipelines to markets throughout the Midcontinent region.
