Senior Administrative Assistant

The Senior Administrative Assistant will provide support for multiple Natural Gas Processing Facilities. This position supports 4-5 facility and field supervisorsand peers to perform the highest level of administrative duties, working independently and proactively on numerous complex administrative tasks, exercising utmost discretion, independence, and sound judgment on a consistent basis.  

 
Responsibilities May Include:

  • Coordinating all office and administrative support duties including answering and directing calls to others as appropriate, planning for visitors, expense reports, timekeeping, invoice processing and coding, record management, safety policies/procedures and other corporate administrative needs
  • Preparing special reports as requested, gathering, analyzing, and summarizing data
  • Maintaining various Outlook distribution lists
  • Planning and coordinating meetings including invitations, conference room scheduling, refreshments, agenda preparation, meeting set-up and AV coordination
  • Maintaining printers, including stocking paper, ordering toner and printer supplies, troubleshooting printer issues
  • Submitting service tickets for various floor related issues
  • Defining methodology, monitoring and assuring compliance with document retention policy and procedures
  • Working collaboratively and coordinating with other administrative assistants and executive administrative assistants for planning and implementing events and meetings during the year

  
Required Qualifications:

  • Legally authorized to work in the job posting country
  • High School Diploma
  • 2 years of SAP experience including purchasing, invoicing, and work order creation 
  • 5 or more years in positions requiring administrative or processing work, or coordinating multiple parties and tasks to achieve an outcome
  • Intermediate level of proficiency in corporate systems and software such as Microsoft Office Word, Excel, PowerPoint and Outlook

 
Preferred Qualifications:

  • Bachelor’s Degree
  • 5 or more years of experience in an administrative support position reporting to senior management
  • Ability to handle multiple priorities concurrently
  • Anticipates barriers and provides alternative solutions
  • Strong interpersonal skills; ability to work with all levels in the organization
  • Discretion in working with highly confidential matters and material
  • Proficiency in Microsoft Teams and SharePoint, SAP, and Cisco Webex
  • Builds and maintains effective and trusting working relationships
  • Advanced written and oral communication skills
  • Demonstrates a professional manner and ability to influence in dealings with others
  • Internal and external networking at all levels in the organization
  • Ability to work under pressure within tight timelines with limited direction

Midstream

Phillips 66's Midstream business is a safe, reliable and trusted logistics provider for the movement and storage of liquid or gas energy via pipelines or terminals. We are an industry leader in logistics and operate or manage more than 22,000 miles of pipelines that transport crude oil from oil fields to refineries and finished products from refineries to storage terminals. We operate 39 terminals that supply finished products to consumer gas stations, as well as crude oil and NGL storage terminals and NGL fractionation facilities. We also provide the connectivity between the various Phillips 66 business units.
