As an Administrative Assistant III, HSE Data & Reporting your attention to detail and proactive approach will help drive our operational success. In this fast-paced environment, you’ll be a trusted partner to department leaders, supporting a diverse group of professionals across Maintenance, Health, Safety, Environmental (HSE), Operations, and more. What You’ll Do

  • Provide administrative support to department leaders and teams, managing daily office operations and tasks.
  • Coordinate schedules, organize meetings and events, and handle correspondence and phone calls professionally.
  • Prepare documents and reports, process expense and invoice submissions, and maintain accurate records.
  • Ensure compliance with company policies, manage office supplies, and facilitate logistics for visitors.
  • Support special projects, maintain confidentiality, and exercise sound judgment in all activities.
  • Collaborate with colleagues to deliver excellent service and contribute to a positive work environment.
  • Use digital tools to compile and distribute reports, support budget and cost control activities, and assist with regulatory compliance.
  • Participate in ongoing development to enhance your skills and adapt to changing priorities.
  • Build strong relationships, proactively address requests, and help optimize team performance.

 

What You’ll Bring – Required

  • Legally authorized to work in the job posting country.
  • Willing and able to obtain a Transportation Worker Identification Credential (TWIC).
  • Must be willing and able, with or without reasonable accommodations, to comply with the following:
    • Travel up to 5%
    • Work extended hours, which may include evenings, to perform occasional duties
  • High School diploma or equivalent
  • 3 or more months of administrative experience
  • Intermediate proficiency working with Microsoft Suites (Word, Excel, Outlook, PowerPoint)

 

What Makes You Stand Out – Preferred

  • 3 or more years of experience in administrative support or equivalent role
  • Experience in SAP
  • Experience in Tableau or Power BI visualization software
  • Proven written and verbal communications, and interpersonal skills
  • Strong organization skills and independently capable of setting and sorting out priorities
  • Ability to work well under pressure and changing priorities
  • High energy with a strong can-do attitude and proactive in taking the extra steps to provide support and accomplish work.

 

Compensation Range:

  • $68,700 - $83,930

 

The Bayway Refinery is located on the New York Harbor in Linden, New Jersey. Bayway's facilities include crude distilling, naphtha reforming, fluid catalytic cracking, solvent deasphalting, hydrodesulfurization and alkylation units. The complex also includes a polypropylene plant with the capacity to produce up to 775 million pounds per year. The refinery processes mainly light and medium, low-sulfur crude oil. Foreign crude oil is supplied to the refinery by tanker, and domestic crude oil is supplied through a combination of rail and marine transportation. The refinery produces a high percentage of transportation fuels, as well as petrochemical feedstocks, residual fuel oil and home heating oil. Refined products are distributed to East Coast customers by pipeline, barge, rail car and truck.
