Legal Administrative Assistant

The Legal Administrative Assistant reports to the Team Lead – Legal Support COE and is responsible for providing and coordinating administrative support to an assigned team of attorneys and paralegals in the Phillips 66 Legal Department.  
 
Responsibilities May Include:

  • Managing attorney schedules/calendars, including facilitating conferences and meetings.
  • Arranging domestic and international travel.
  • Processing manual invoices and expense reports.
  • Preparing and revising legal correspondence, documents, and forms.
  • Preparing financial forms and documentation for settlements and external payments.
  • Communicating with internal clients and external resources to advance priorities.
  • Distributing mail and preparing all forms of special delivery.
  • Handling document reproduction and distribution needs.
  • Creating and inputting data into Passport, Phillips 66’s Legal Matter Management system..
  • Assisting attorneys and paralegals with the use of technology systems including Passport, video conferencing, electronic billing/invoicing, and workflow systems.
  • Adhering to Information Governance practices and corporate records retention schedules in the handling of attorney work team files.
  • Maintaining shared printers and supplies in work areas.
  • Other administrative duties as assigned by the supervisor and attorney work team.

 

Required Qualifications:

  • Legally authorized to work in the job posting country
  • High school diploma or GED
  • 3 or more years of experience as an Administrative Assistant
  • Proficiency and knowledge of all Microsoft Office applications
  • Proficiency in keyboarding (Minimum 65 words per minute)

 
Preferred Qualifications:

  • Knowledge of and experience with legal processes and terminology
  • Experience in the energy industry supporting Legal Commercial teams
  • Understanding of and ability to process litigation and transactional documents
  • Knowledge of basic contracts and agreements 
  • Understanding and adaptability to digital technology and evolving ways of working
  • Ability to successfully work and collaborate at a variety of position levels from peer groups to upper-level management
  • Must be flexible and willing to assist with a variety of administrative tasks
  • Developed interpersonal, written, and verbal communication and organizational skills
  • Strong focus on attention to detail
  • Ability to prioritize multiple tasks and adapt quickly to change
  • Ability to proactively problem-solve and achieve deliverables
  • Appropriate use of good judgment and discretion 
  • Understanding and appreciation for working with highly sensitive and confidential information is a must
  • Advanced experience with Excel and PowerPoint is a plus 
  • Bachelor’s Degree
