Investor Relations Corporate Access Coordinator/Planner

The Investor Relations Corporate Access Coordinator/Planner is responsible for providing and coordinating support with Corporate Investor Relations teams locally and abroad. They must build strong relationships with Corporate Investor Relations teams and Sell-side Corporate Access analysts, and plan season roadshow schedules, investment team events, for multiple members of the Executive team.

 

Responsibilities May Include:

  • Responsible for coordinating investor outreach days and pre-/and post-earnings calls; communicate earnings details via press release to Buy and Sell Side analysts
  • Scheduling and planning meetings with all shareholders
  • Schedule executive fireside chats, as needed
  • Coordinate monthly IR Board of Directors reports for PSX.
  • Manage external provider relations with NYSE, Nasdaq, Ipreo, Q4, Bloomberg, etc.
  • Maintaining executive-level external investor contact directories, including the Board of Directors
  • Corporate access point of contact and coordinating domestic/international (i.e., aviation, hotel, ground transportation, etc.) travel arrangements for executive conferences
  • Support Board of Directors’ Meeting, preparing documents, and providing on-site support.
  • Some travel will be required to provide support to the Board of Directors’ meetings and other executive meetings.
  • Collaborate with various internal teams/EAs/assistants to recommend the level of support required for Investor Relations events.
  • Work closely and seek necessary approvals for program/process changes (security, travel, legal)
  • Perform error analysis and corrections, extracting and analyzing data for specific functions under the scope of Executive Services.
  • Function as a key member of the Executive Services/Corporate Meeting planning team
  • Handling invoice-related processes such as coding, vendor set up, approval routing, storage, and payment confirmation for executives and Executive Services
  • Entering data and maintaining accurate reports in Excel, SharePoint, and SAP
  • Management of vendors; handling catering and floral procurement for Executive/Corporate meetings or events
  • Provide ad-hoc support and work on special projects as needed.
  • Establish metrics for all Exec Services processes; review and report on the effectiveness of processes to maximize results and provide recommendations.

 

Required Qualifications:

  • Legally authorized to work in the job posting country
  • High school diploma or GED
  • 5 or more years of experience in a Corporate Meeting Planning role
  • Proficiency in Microsoft applications (Word, Excel, PowerPoint, and Outlook)
  • Proficiency in SAP and SharePoint
  • Confidentiality and professionalism
  • Ability to be flexible, adapt to change, and multitask in a fast-paced environment
  • Ability to build strong working relations with both internal and external stakeholders
  • Exceptional writing and editing skills
  • Superior communication skills

 

Preferred Qualifications:

  • Bachelor’s degree
