The Finance Specialist, Aviation Assistant will provide bookkeeping and administrative support to Corporate Aviation group in compliance with appropriate company standards, policies and procedures, systems and controls.
This job is located onsite in North Houston close to the IAH Bush airport.
Responsibilities May Include:
- Timely and accurately code invoices to ensure compliance with tax, company’s accounting policy and vendor’s contractual terms.
- Facilitate, track, report and reconcile various Aviation payments to support accurate aircraft expenditure and prevent delays to scheduled flights.
- Provide guidance and assistance to staffs to insure accurate and timely reporting and reconciliation of all activities on company-issued credit cards per policy.
- Coordinate the control procedures and authorizations for Aviation procurement activities, working closely with Procurement, and accounting staffs as appropriate.
- To include coordination and communications with vendors for proper invoicing and payment activities.
- Prepare and provide responses to various audit inquiries and requests as necessary.
- Coordinate and facilitate creation of WBS elements for capital expenditures.
- Facilitate tracking and internal reporting of the Hangar’s improvement expenses to ensure compliance with the Hangar’s rental agreement.
- On a monthly basis prepare and report to Aviation Manager fuel costs analysis.
- Assist Aviation Manager in understanding monthly financial results by providing costs details analysis.
- Administrative support for managers.
- Order office supplies and business cards.
- Coordinate airport badges, IBAC badges and Passports/VISAs.
- Organize Hangar Lunches for meetings and support other hangar events.
- Rental car coordination for non-trips related travel, e.g.: Crew Training and executive travel via commercial airlines.
- New team member onboarding assistance.
- Annual Documentation Information Cleanup.
- Operations administrative duties as assigned by the Operations Manager as needed.
Required Qualifications:
- Legally authorized to work in the job posting country
- High diploma or GED equivalent
- 1 of more years of finance and/or administrative support
Preferred Qualifications:
- 1 or more years of experience working in corporate aviation
