The Administrative Assistant supports the Operations department and performs a wide range of clerical and office duties in a fast-paced environment, dealing with sensitive and confidential information.
Responsibilities May Include:
- Interacting with internal personnel and external business contacts
- Scheduling meetings, make catering arrangements, and facilitate award celebrations as needed
- Preparing and processing monthly expense reports on a web-based system
- Maintaining databases, manage office supply inventory, answer incoming phone calls, and take meeting minutes as required
- Making travel arrangements and use online personal logistics system to make reservations as needed
- Ordering supplies and track inventory
- Collecting data from different sources/databases and generate reports from data
- Providing timely, accurate and professional resolution to many inquiries and requests
- Assessing and adjusting to changing priorities while simultaneously handling numerous ongoing project activities
- Identifying and addressing tasks outside normal job scope to improve processes
- Updating Maintenance internal website(s), SharePoint, and Live Link sites
- Working with the Manpower Scheduler as needed and to cover the role when the need arises
- Print work orders for P66 and contractors daily/weekly
- Maintaining a working knowledge of all software used by the Maintenance Team to support team members less familiar with software (examples: OIS, Mobile Ops, Expense Reports)
- Supporting turnaround activities as needed
- Other various tasks as directed
Required Qualifications:
- Legally authorized to work in the job posting country
- High School Diploma or GED equivalent
- Intermediate level proficiency in Microsoft Office suite (including Word, Excel, PowerPoint, and Outlook)
- Work occasional overtime hours, which may include evenings and holidays
Preferred Qualifications:
- 5 or more years of recent continuous full-time work experience
- 1 or more years of administrative experience
- Experience working in a Refinery
- Working knowledge of SAP
- Strong skillset in MS Excel
- Ability to work independently with minimal supervision
- Exhibit problem solving/conflict resolution skills
- Exhibit organization and time management skills
- Possess interpersonal skills with the ability to communicate effectively
- Strong orientation to detail and ability to take initiative as well as accept direction
- Ability to prioritize in a multi-faceted work environment
The Borger Refinery is located in Borger, Texas, in the Texas Panhandle, approximately 50 miles north of Amarillo, Texas. Refinery facilities include crude distilling, naphtha reforming, fluid catalytic cracking, alkylation, hydrodesulfurization and delayed coking units. The refinery processes primarily medium sour crude oil produced locally, and heavy sour crude oil produced in Canada, all of which are delivered by pipeline. Borger produces a high percentage of transportation fuels, as well as petroleum coke, NGLs and solvents. Refined products are distributed to customers via pipelines from the refinery to West Texas, New Mexico, Colorado and the Midcontinent region.
