The Human Resources Site Coordinator provides daily business support for the Human Resources Department in Lake Charles, LA. This position is accountable for administrative systems, processes, procedures and providing these services in a way that enables an effective and efficient work environment.
What You’ll Do
- Assist HR Business Partner with new hire documentation, processing of paperwork for hires/terminations, promotions, demotions, status change forms, transfer paperwork and various employee personnel actions.
- Work with HR Business Partner to coordinate University and Technical recruiting events and facilitate selection process.
- Produce accurate and timely reports as requested such as Headcount, Absenteeism, Service Anniversaries and Birthdays, KPIs, MOS Metrics, etc.
- Ensure all required Management of Personnel Change forms (MOPC), Management of Organizational Change forms (MOOC), and LCMC Organizational Announcements are stored in Livelink.
- Execute a variety of administrative tasks including but not limited to managing current employee email distribution and resource groups, HR S:/Drive file folder access, generating and updating monthly Key Performance Indicators (KPIs), managing all employee records.
- Ensure employment-related posters are up to date and clearly displayed in employee work areas (Federal and State All-in-One Poster, Federal Contract Poster, and Company All-in-One Poster).
- Interact with all levels of management, including support staff and outside vendors.
- Maintain broad knowledge of all HR processes, policies, and procedures.
- Address a wide range of questions in alignment with all HR processes, policies, and procedures.
- Purchase and maintain the inventory of office supplies for the HR Department.
- Plans, coordinates, and administers employee recognition and engagement events, including meeting and luncheon logistics, communications, and event execution.
- Facilitate WorkForce Software (WFS) navigation training for both employees and supervisors as required.
- Frequently assist employees and supervision with payroll questions and pay related information requests.
- Work directly with employees and supervisors to ensure payroll is accurately submitted and approved.
- Conduct routine audits of payroll records to ensure compliance with internal reporting procedures.
- Ensure front-line supervisors submit annual and probationary hourly employee evaluations in a timely manor.
- Maintain all hourly employee progression list, seniority date records, and bidding records.
- Willing to complete other duties as assigned by the HRBP Manager.
What You’ll Bring – Required
- Legally authorized to work in the job posting country
- High school diploma or GED equivalent
- Hold a valid driver's license
- 1 or more years of experience in a Human Resources role
- 3 years or more years of experience in an Administrative role
- Proficient with Microsoft Outlook, Word, Excel and PowerPoint
- Able to work overtime as required and travel up to 10%
What Makes You Stand Out – Preferred
- 3 or more years of experience in a Human Resources role; or 5 years’ experience in an Administrative role
- Proficient with Workforce Software and SAP SuccessFactors
- Knowledge or familiarity with employment/payroll Laws and regulations
- Experience in union represented work environment and ability to read and understand collective bargaining agreements
- Able to manage critical work and unplanned task simultaneously
- Excellent organizational skills and able maintain strict confidentiality
- Outstanding verbal and written communication skills
Compensation Range
This position has a base salary range of $72,900 - $89,100.
