As a Senior Administrative Assistant, you’ll play a vital role in supporting senior leadership and their teams, helping to create a seamless and productive work environment. This position offers the opportunity to work closely with leadership, manage a variety of administrative tasks, and contribute to the success of key projects and daily operations.
Position is located at our Sweeny, TX refinery.
What You’ll Do
- Provide comprehensive administrative support to an executive and their team, ensuring effective management of time, priorities, and sensitive matters.
- Coordinate office and administrative duties, including answering calls, managing correspondence, preparing documents, and handling expense reports and records.
- Organize meetings, appointments, and both domestic and international travel, ensuring all arrangements align with the executive’s schedule and preferences.
- Act as a first point of contact by screening visitors, responding to inquiries, and maintaining confidentiality and professionalism in all interactions.
- Organize special events, maintain distribution lists, and ensure compliance with company policies and procedures.
- Leverage technical skills in office software and systems to produce reports, manage documents, and support procurement tasks.
- Build trusting relationships, demonstrate sound judgment, and maintain a productive and positive environment for the executive and their team while ensuring confidentiality.
- Serving as the Senior Administrative Assistant for the business unit.
- Will be the point of contact for Scorecard/dashboard ownership at refinery level as well as completing Ad hoc data analytics including use of AI tools.
What You’ll Bring – Required
- Legally authorized to work in the job posting country
- High School Diploma or GED equivalent
- 3 or more years of experience with office or operational systems
- Intermediate skills in Microsoft Office Suite, calendar and scheduling tools, and standard office equipment

- Experience supporting senior executives or leadership teams in a corporate environment
- 5 or more years of experience with office or operational systems
- Proficiency with SAP, SharePoint, or other collaborative and enterprise systems
- Advanced skills in document management, reporting, and event coordination
- Demonstrated ability to build trusting relationships and work effectively under pressure
- Strong process orientation and a proactive approach to anticipating needs and solving problems
- Experience with digital tools such as ChatGPT, Microsoft Copilot, or similar AI-powered platforms
- Strong verbal and written communication skills, with the ability to interact professionally with a variety of stakeholders
- Attention to detail, organizational skills, and the ability to manage multiple priorities
- Ability to handle confidential information with discretion and sound judgment
Compensation Range
This position has a base salary range of $80,100- $97,900.

The Sweeny Refinery is located in Old Ocean, Texas. Refinery facilities include crude distilling, naphtha reforming, fluid catalytic cracking, alkylation, hydrodesulfurization, and aromatics units, as well as access to the on-site vacuum tower and delayed coking unit, which is an asset owned by Phillips 66 Partners. Sweeny processes heavy, high-sulfur crude oil and some light, low sulfur crude oil. Domestic, Canadian and other foreign crude oil is transported by truck, pipeline, marine transportation and terminals. The refinery produces a high percentage of transportation fuels. Other products include petrochemical feedstocks, heating oil and petroleum coke. The refinery receives crude oil by pipeline and via tankers, through terminals on the Gulf Coast, including a deepwater terminal at Freeport. Refined products are distributed throughout the Midcontinent region, southeastern and eastern United States by pipeline, barge and rail car. Refined products are also exported to Latin America by waterborne cargo.
