Legal Administrative Assistant

The Legal Administrative Assistant reports to the Supervisor, Legal Support COE and is responsible for providing and coordinating administrative support to an assigned team of attorneys and paralegals in the Phillips 66 Legal Department.  

 

What You’ll Do

  • Provide day-to-day administrative support to managers and team members, including managing calendars, scheduling meetings, and coordinating logistics.
  • Managing attorney schedules and calendars.
  • Creating and inputting data into Passport, the Legal Matter Management system
  • Assisting attorneys and paralegals with use of technology systems including Passport, video conferencing, electronic billing/invoicing and workflow systems.
  • Promoting the use of electronic documents/file systems and proper retention of documents according to corporate records retention schedules.
  • Act as a first point of contact for phone calls, emails, and visitors, routing inquiries and information to the appropriate colleagues.
  • Prepare, format, and distribute routine documents, presentations, and reports using standard templates and office software.
  • Process incoming and outgoing mail and packages, ensuring items are logged, sorted, and delivered accurately and on time.
  • Enter and maintain accurate data and electronic records in company systems by following established procedures and privacy guidelines.
  • Help organize on-site and virtual meetings and small events by reserving rooms, coordinating technology, and arranging visitor access.
  • Support adherence to office procedures and policies by keeping information up to date and escalating issues to the appropriate leader.
  • Contribute to a positive, customer-focused experience for employees, guests, and external partners by providing friendly, efficient service.

 

What You’ll Bring – Required

  • Legally authorized to work in the job posting country
  • High school diploma or GED equivalent
  • 2 or more years of relevant, professional administrative experience in an office setting
  • Intermediate proficiency with Microsoft Suites (Outlook, Excel, Office, PowerPoint, etc.)

 

What Makes You Stand Out – Preferred

  • Previous experience in an administrative, office support, or customer service role
  • Bachelor's degree
  • Experience managing calendars, scheduling meetings, and coordinating small events
  • Comfort using digital tools for data entry, reporting, and document preparation
  • Experience supporting reception or visitor management in a professional environment
  • Strong attention to detail and ability to prioritize multiple tasks
  • Demonstrated customer focus in interactions with employees, visitors, or external partners

 

Compensation Range 

This position has a base salary range of $65,700- $80,300.
