Phillips 66 is seeking an organized and service-oriented Advisor, Corporate Events to join the Corporate Events team. This role coordinates corporate meetings and events from planning through closeout, ensuring that logistics, teams, and details are managed accurately and professionally.

 

The Advisor, Corporate Events will support executives, Board, ELT, leadership, employees, and stakeholder programs. The ideal candidate is detail-oriented, resourceful, calm under pressure, and able to manage multiple priorities while delivering a polished experience for guests and internal clients.

 

What You’ll Do

Plan and coordinate meetings and events

  • Coordinate assigned meetings and events using established planning processes, schedules, templates, and checklists, while identifying opportunities to improve efficiency.
  • Develop and maintain timelines, task lists, attendee information, agendas, room layouts, run-of-show details, and event files.
  • Coordinate meeting space, room setup, catering, décor, floral, rentals, audiovisual, transportation, registration, signage, materials, and other event requirements.
  • Support recurring event calendars and planning schedules, and communicate details, deadlines, changes, and next steps to stakeholders and external partners.

Manage participant, travel, and hospitality logistics

  • Coordinate registration, attendance information, arrival and departure details, hotel accommodations, room blocks, ground transportation, and related travel logistics.
  • Maintain accurate attendee and rooming lists, special requests, dietary requirements, accessibility needs, and other participant information.
  • Coordinate food and beverage for meetings, receptions, dinners, and events, including menu requirements, service timing, refreshes, linens, place cards, menus, décor, and furniture.
  • Provide responsive and professional support to executives, guests, participants, and clients.

Coordinate vendors and venues

  • Research venues and suppliers. Obtain proposals, menus, quotes, availability, and details.
  • Coordinate with hotels, venues, caterers, destination management companies, rental companies, florists, transportation providers, audiovisual teams, and other vendors.
  • Review proposals, banquet event orders, floor plans, rooming lists, menus, invoices, and related documents for completeness and accuracy.
  • Track vendor deliverables, deadlines, deposits, changes, and open items. Support contract and purchase processes in accordance with company procedures and requirements.

Track budgets and event administration

  • Maintain event budgets, estimates, cost comparisons, payment schedules, and status trackers for assigned programs.
  • Track deposits, invoices, corporate card charges, credits, and final reconciliation. Compare actual vs. budget. Communicate variances or items requiring review.
  • Maintain accurate records in the Corporate Events calendar, master event database, shared planning files, and applicable systems.

Support onsite execution

  • Support onsite execution, including vendor arrival, room checks, registration, catering, transportation, guest movement, program timing, and teardown.
  • Complete readiness checks using event plans and checklists and serve as an onsite point of contact for assigned logistics.
  • Coordinate with event leads, vendors, venues, technology, security, and other teams; resolve routine issues promptly and escalate significant changes or concerns when appropriate.

 

What You’ll Bring – Required

  • Legally authorized to work in the job posting country
  • High school diploma or GED equivalent
  • 5 or more years of experience in event management, hospitality, business, communications, administration, travel, or a related field
  • 5 of more years of experience coordinating meetings, events, hospitality, executive administration, travel logistics, vendor services, or related work
  • 5 of more years of experience organizing schedules, maintaining detailed records, coordinating multiple deadlines, and supporting participant or customer needs
  • Proficiency with Microsoft Outlook, Excel, Word, PowerPoint, AI, and other technologies
  • Ability to work occasional early mornings, evenings, weekends, and travel for events

 

What Makes You Stand Out – Preferred

  • Working knowledge of budgets, estimates, quotes, invoices, and purchase processes
  • Experience supporting corporate, executive, Board, leadership, conferences and events
  • Experience with event registration platforms, attendee databases, and rooming lists
  • Strong verbal and written communication, planning and organizing skills, attention to detail, flexibility, and follow-through
  • Experience coordinating hotels, food and beverage, destination events, transportation, décor
  • Familiarity with procurement procedures, vendor documentation, corporate card processes

 

Compensation Range 

This position has a base salary range of $96,300- $117,700.
